Synchronicity Earth is a UK-registered charity dedicated to increasing funding and effective support for organisations and. Altum Consulting is proud to be partnering with Synchronicity Earth in its search for a new, US-based, Finance & Administration Coordinator to support the development and day-to-day operation of its US entity Synchronicity Earth USA, at a critical stage of growth. Synchronicity Earth USA was established to support fundraising and engagement in the USA for the critical conservation work of Synchronicity Earth.

With new trustees appointed, senior fundraising leadership in place, and significant core funding committed, Synchronicity Earth USA is transitioning into an active fundraising and operational base. This role will be central to ensuring robust finance, compliance, and governance processes are in place to support that growth.

This is a hands-on, part-time role (20-24 hours per week), suited to an experienced finance or operations professional who enjoys working independently while collaborating closely with UK and US colleagues. This is a fully remote role with location flexibility within the Eastern Time Zone (ET) for overlapping working hours with the UK team.

 

Key duties will include:

  • Day-to-day financial operations, including processing payments, expenses, and bookkeeping
  • Liaising with external accountants and supporting year-end processes
  • Supporting compliance with US fundraising regulations, including state registrations and renewals
  • Maintaining donor and contact databases, and supporting fundraising administration
  • Coordinating Board meetings, including scheduling, papers, minutes, and action tracking
  • Providing administrative, diary, and travel support to senior staff and trustees
  • Working closely with the UK finance and operations team to align processes and improve systems

The ideal candidate will:

  • Bring experience in finance administration, bookkeeping, or operations, ideally within a charity or philanthropic organisation
  • Be confident working autonomously as the primary finance and administration support for a small US entity
  • Be highly organised, detail-focused, and comfortable managing multiple priorities
  • Communicate clearly and effectively with a range of stakeholders
  • Be motivated by Synchronicity Earth's mission to protect biodiversity

Altum Consulting will be running the screening stage of this recruitment process before presenting a shortlist to Synchronicity Earth in early February.
